What does the Production Department do?

The Production Department ensures that roofing jobs are completed efficiently, accurately, and to the satisfaction of both the customer and internal stakeholders.

They coordinate installations, manage crews, ensure material delivery, and act as a bridge between sales, customer service, and field operations.

Ensure the right crews are assigned and prepared for each job.

Material Coordination

Confirm materials are ordered and delivered on time.

Scope of Work

Ensure accuracy and completeness of work orders submitted by reps.

Completion Verification

Confirm jobs are completed correctly and gather required documentation (photos, notes, etc.).

Note: The Production Team will not be gathering all documentation. They rely on the Project Manager to provide documentation, including the Post Roof Inspection.

Production Process Overview

Handling claims efficiently requires organization, proper documentation, and clear communication. Follow this workflow to ensure successful claims processing.

Step 1: Job Approval

  • Once Customer Success Advocates (CSAs) approve the file, it’s passed to the Production team.
  • Production schedules jobs within 3–5 business days of CSA approval.

Step 2: Crew Coordination

  • Jobs are assigned to installation crews based on complexity and location.
  • Special trades (e.g., metal, siding) are coordinated through trade-specific managers.

Step 3: Material Management

  • Material Specification Contracsts must include all material details.
  • Metal jobs require color confirmation and photos.

Step 4: Job Completion

  • Project Managers upload completion photos using the Post Roof Inspection checklist in CompanyCam.
  • CSAs review and confirm job completion.

⚠️ Important Reminders

  • Never send incomplete files to Production.
    Make sure all required documents and photos are uploaded before moving the job forward.

  • Read all notes in AccuLynx before asking questions.
    Most status updates are already documented. Avoid asking “Where are we at with this job?” unless you’ve reviewed all notes.

  • Homeowners don’t get depreciation for work not completed.
    Explain this clearly to avoid confusion. We only collect for what we install; depreciation is only released for completed line items.
