Mapping Your Territory in Spotio

Watch this short video (2:20) outlining how track leads while canvassing in Spotio.

Using Spotio

Select a stage in the advised sales process below to learn how to leverage this app.

Before heading out, sales reps use various data sources to identify the best areas to canvass:

  • Storm Tracking Apps – Identify recent hail or wind storms to pinpoint high-potential areas.

  • Zillow & Redfin – Assess the age of homes; older homes are more likely to need a roof replacement oai_citation

  • Previous Weatherguard Jobs – Check Spotio and Acculynx for past projects in the neighborhood to build credibility

Key Actions in Spotio:

  • Use storm tracking maps to see areas with reported hail/wind damage.

  • Map high-value neighborhoods with homes in the 10-15 year range, as they are more likely to need replacements.

  • Filter for homes that haven’t been serviced yet by checking existing records in Spotio.

Once the research is done, use Spotio’s mapping features to:

  • Plot potential leads based on storm data and home age.

  • Mark high-priority areas for door-knocking.

  • Optimize routes to cover the most doors efficiently.

Key Actions in Spotio:

  • Use geo-mapping tools to visualize storm-hit areas.

  • Assign specific streets or zones to individual reps.

  • Prioritize leads based on priority level.

After the drive-through:

  • Reps finalize their list of doors to knock on.

  • Set up reminders and notifications in Spotio to track each interaction.

  • Check Acculynx & CompanyCam to avoid duplication of efforts.

Key Actions in Spotio:

  • Mark specific doors to skip (homes already serviced or uninterested).

  • Sync everything with Acculynx for a smooth transition to the next stage.

  • Saves time – Reps focus only on the best leads.

  • Increases conversion rates – Homeowners see a prepared professional.

  • Ensures better tracking – Every interaction is logged from the start.

  • Reduces duplicate efforts – No repeat visits to non-qualified leads.

🚀 Next step: Follow-ups!

  1. After canvassing, go into Spotio’s lead database to review leads marked for follow-up.

  2. Prioritize follow-ups based on response type:

  • High-priority (Interested but needs time) – Follow up within 24-48 hours.

  • Medium-priority (Asked to call back later) – Follow up within 3-5 days.

  • Low-priority (Left materials but no response yet) – Follow up within 7-10 days.

Key Actions in Spotio:

  • Open your lead list and filter by “Follow-Up Needed” status.

  • Check past notes from the initial interaction to personalize the follow-up.

  • Prioritize leads based on urgency and potential interest.

Follow-ups can be done through calls, texts, emails, or in-person visits, depending on the homeowner’s preference.

Phone Call (Most effective):

  •  Remind them of the conversation:
    • ➝ “Hi [Name], we spoke on [date] about your roof. You mentioned needing time to decide. Just checking in—would you like to schedule your free inspection?”
    •  Address any previous concerns (cost, insurance, timing, etc.).
    •  If they confirm interest, schedule the inspection immediately in Spotio.

Text Message (Best for quick responses):

  •  Short and direct:
    • ➝ “Hi [Name], following up from Weatherguard. Would you like to set up your free roof inspection this week?”
    •  If no response, follow up after 24 hours with a second message.

Email Follow-Up (For documented communication):

  • Subject: Weatherguard Free Roof Inspection – Follow-Up
  • Brief message summarizing your discussion and an easy way to book an inspection.
  • Include a link to schedule if available.

Door Knock (If No Response to Calls or Texts)

  • If a lead hasn’t responded, drop by their house again.
  • Remind them of the previous discussion and offer to schedule an inspection on the spot.

 Key Actions in Spotio:

  • Use Spotio’s built-in calling & texting features to reach out quickly.

  • Log each attempt and update lead status (e.g., “Left Voicemail” or “Scheduled Inspection”).

Set a new follow-up reminder if they still need time.

• Choose the appropriate contract template based on the deal type:

• All Regions: Customer Insurance Agreement (CIA) (Formerly Rep. Agreement)

• Region 1, 3, and 4: Materials Specification Contract (MSC), Pre-Start Checklist, and Change Order

• Weatherguard Credit Application

Select the contract template.

Choose between:

  • “Sign Now” (for immediate execution).
  • “Send to PM then Customer” (for sequential signing).

  1. Step 1: The sales representative receives an email and fills out their portion of the form.
  2.  Step 2: Once the sales rep completes their section, an email is sent to the customer.
  3. Step 3: The customer fills out their portion of the form.
  4. Step 4: After both parties complete the document, a confirmation is sent indicating the contract has been fully executed.

All completed e-contracts must be uploaded into Acculynx as per usual.
